Buying the ATMs Was the Easy Part: Why We Now Run the Back Office for ATM Routes
Most ATM operators don’t quit because the route stopped making money. They quit because of everything around the route.
It’s the 9pm call from a merchant whose machine is showing an error. It’s the processor statement nobody can read. It’s the cash order that has to go in before Thursday. It’s the error code that could mean a service call or a five-minute fix, and you can’t tell which.
We’ve been in the ATM business for more than 15 years. We’ve placed over 1,000 machines and bought and sold more than 200 routes. Over and over, we’ve watched good routes get sold, or neglected, because the owner was worn out by the back office, not because the numbers were bad.
So we built ATM Brokerage Managed Services. You keep the route. We take the headaches.
The four things that wear operators down
The phone never stops. Merchants call you, not your processor. Nights, weekends, holidays.
Statements go unread. Interchange, surcharge splits and fee changes hide in a PDF nobody opens.
Cash is a second job. Forecasting, ordering, armored coordination, and your own money sitting in a safe.
Downtime is invisible. A machine goes offline Friday and you find out when the merchant gets loud.
What we handle
This is work we already do every day on our own machines. Take all of it, or just the piece that’s costing you the most sleep.
- Phone support. A dedicated line for your locations with extended hours, including weekends. Calls get triaged and logged, and escalated to you only when they need you. We can answer as your operation if you want it that way.
- Processing. Terminal setup, TID provisioning, and EMV and software compliance. A line-by-line surcharge and interchange review every month. We work with Switch Commerce, CDS, PAI and others.
- Vault cash. Introductions to vault cash and armored carrier partners, per-machine cash forecasting, order placement, delivery scheduling, and reconciliation.
- Merchant support. Onboarding, paperwork and signage, split payments and statement questions, check-ins on your highest-volume locations, and relocation help when a location goes cold.
- Technical support. Remote diagnostics and error codes, programming, key loading, wireless troubleshooting, and parts and service dispatch when hands are actually required.
- Monthly reporting. Per-machine transactions, surcharge and interchange, uptime, underperformers flagged with a recommendation (fix, relocate or sell), and a portfolio value estimate that updates as your numbers change.
Why the statement audit matters
We audit our own processor statements every month. Here’s the kind of thing we find:
- Surcharge segmentation enrolled and billed, producing $0
- Interchange rates misapplied
- Wireless lines still billed for machines that came out years ago
- Missing-paperwork penalties that were never contested
- Negative-income terminals that are still being funded
None of this shows up unless somebody reads the statement. Most operators have never had anyone look, and that’s usually where the first few months of our fee comes from.
How it starts
It takes four steps and about two weeks.
- Route review. Send us a recent processor statement and a machine list. We’ll come back with what your route actually earns per machine and where it’s leaking.
- Scope and price. Pick the services you want. We quote a flat monthly fee per machine, month to month, with no term and no early termination language.
- Onboarding. We take portal access, load your machine and merchant list, publish the support number, and set up cash and reporting.
- We run it. Calls come to us. Statements get read. Cash gets ordered. You get one report a month and a call when something needs your decision.
What it costs
Programs start at $500 a month. We don’t take a percentage of your surcharge or a revenue share. You keep every dollar the route earns, and we charge a flat monthly fee for the work.
There are three tiers:
- Support takes care of the phones: merchant support line, remote tech support, wireless troubleshooting and dispatch.
- Managed covers the whole back office: everything in Support, plus processor management, the monthly statement audit, merchant relations, cash forecasting and the monthly report.
- Managed + Cash adds vault cash placement, armored carrier coordination and reconciliation. It’s priced on volume and geography.
Running fewer than five machines, or not sure which tier fits? Call us and we’ll tell you straight whether it’s worth it for you.
